Employers: Pension communications – what to send and when to send it

This guide will tell you what you need to tell your team and the deadlines for telling them

Paycircle manages all of the pension communications to and from your team and stores them securely in your Comms Centre in the Pension area of the app.

For info, here’s a list of the communications that must be sent to your team and when they need to be sent, to ensure that your company is compliant.

  1. Introduction to the workplace pension

    This communication isn’t mandatory for compliance purposes but we think it’s a good idea to prepare people in advance. You can send this yourself as soon as you have set up your pension scheme but if you don’t send it, Paycircle will send it to your team on your Staging Date.

    This is an email communication informing everyone of the company’s Staging Date, the chosen pension provider and some basic info about the workplace pension.

  2. Postponement Notice

    This communication is mandatory and must be sent no later than 6 weeks after your Staging Date. Paycircle sends this email to your team on your Staging Date.

    This is an email communication informing everyone of the new assessment date and let’s them know that they can choose to opt in earlier if they want to

  3. Postponement Notice for new joiners

    This communication is mandatory for compliance purposes and must be sent no later than 6 weeks after an individual’s start date. Paycircle sends this email when you run the first payroll including the new team member.

    This is an email communication informing the new team member of their postponed assessment date and let’s them know that they can choose to opt in earlier if they want to.

  4. Automatic enrolment Notice

    This communication is mandatory for compliance purposes and must be sent no later than 6 weeks after an individual’s enrolment date. Paycircle sends this email when you run the first payroll after your Staging Date or postponed assessment date.

    This is an email communication informing people that they have been automatically enrolled and contains all the mandatory information for compliance purposes.

  5. Opt in/join Notice

    This communication is mandatory for compliance purposes and must be sent no later than 6 weeks after an individual’s assessment date. Paycircle sends this email when you run the first payroll after your Staging Date or postponed assessment date.

    This is an email communication informing people that they have been not been automatically enrolled but can choose to opt in or join if they want to. It also contains all the mandatory information for compliance purposes.
