Whether you’re setting up a payroll for the first time or using data imports to update team members or make changes to payrolls each pay period, you need to be able to get data into the system in the most efficient and hassle-free way possible.Import hero‘Smart column mapping’ is what it’s all about. Grab your data file, drag and drop our headings onto your data’s columns and get ready to import that data in jiffy. The system performs some initial validation, to make sure that the data is as clean as a whistle when it’s on its way in and, as a bonus, the system will also remember your data format ready for the next time you do the same type of import.

Use FPS files and HR files to set up new payrolls

If you have the last FPS file available when setting up a new payroll, definitely start with that. The system recognises FPS files and will automatically import your FPS data. After that, you can upload any number of HR files or spreadsheets to get the remainder of your teams’ personal and payroll info in and ready for the next pay run. You can also use one big file that has all of your onboarding data and choose to import it in one go or via a series of imports – using the same file. All clever stuff.

We’ve designed the onboarding import process to be about as helpful as it possibly could be. Try it for yourself and let us know if there’s any room for improvement.

Mapping dataImporting changes each pay period

Importing changes each pay period, whether it’s the teams’ ‘static data’ changes like addresses or bank details or their pay adjustments, follow the same easy process. Upload your file, map your columns, perform a quick data validation check and import the data. Your static data updates will update your teams’ profile pages and your payroll adjustments will appear in your payroll ‘Current period’. Save your templates for future use and consign fiddling around with spreadsheets prior to importing to yester year.

Importing timesheetsImporting timesheets

Super simple again. Map your columns and import your teams’ timesheets. Paycircle will automatically recognise new team members with each import and create new records for them. If there’s not enough data in the import, the new team members will be marked as ‘incomplete’ and you’ll get a warning to complete them before you run payroll.Undo

And if you make a mistake…

There’s the beautiful ‘Undo’ button.

Each import is recognised as an individual import so if you realise that one of your many imports contains the wrong data, simply hit the ‘Undo’ button next to the import and the data, just from that file, get’s whipped away.
